Our verdict
Otter's plans are clearly laid out, and its security page says recordings are de-identified before training and never reviewed by a human without explicit consent. But the privacy policy describes training on transcripts that may still contain personal information, with no opt-out offered, and subscriptions are non-refundable. You alone carry the legal duty to get consent from people you record. Good for routine internal meetings; think twice for sensitive calls.
Good fit if you…
- Teams that record many routine internal meetings
- Students and teachers with a .edu address (20% off Pro)
- Users who want transcripts searchable across unlimited history
Skip it if you…
- Your calls include confidential client or health information
- You record people in places that require everyone's consent and cannot manage notices
- You want any chance of a refund after paying
The fine print, graded
Five questions, graded A (best for you) to E from Otter.ai's own pages. How grades work.
Pricing clarity · Are prices public and free of traps?
Prices are in US dollars per user, but the cards mix list prices and promotions. Pro shows $16.99 a month with an asterisked $8.49 offer that the footnote limits to India-issued credit cards. Business shows $30 a month with a $24 promo for the first months via a promo code, and $19.99 a month on annual billing. Students and teachers with a .edu email get 20% off Pro ($6.67 a month billed $79.99 yearly, or $13.59 monthly). Pro caps a workspace at 5 billed users, Business at 25. The pricing page does not mention taxes.
SourceCancel & refunds · Can you leave, and get money back?
The help center is blunt: 'Subscriptions are non-refundable', including when you forget to cancel. Plans renew automatically; cancel at least 24 hours before the next billing date. Only the workspace owner or an admin can cancel, paid features run to the end of the period, and a one-time pause is offered instead. App Store and Google Play purchases follow Apple's and Google's refund rules. The terms (September 19, 2025) confirm that 'All fees are in U.S. Dollars and are non-refundable'.
SourceLimits & credits · What is capped, and do credits expire?
Limits are per user, per month, and marked '(no rollover)'. Basic gets 300 minutes, 30 minutes per conversation and 3 imports for life. Pro gets 1,200 minutes, 90 minutes per conversation and 10 imports a month. Business removes the meeting-minute cap but stops a conversation at 4 hours and imports at 6,000 minutes. AI Chat is capped at 20, 50 and 200 queries a month. When a paid plan lapses, members see only their 25 most recent conversations.
SourceYour data · Is your content used to train models?
The privacy policy (effective June 16, 2026) lists 'training our proprietary AI technology on de-identified audio recordings and on transcriptions (which may contain Personal Information)'. Otter's security page says de-identification is automatic, recordings are not manually reviewed without explicit customer consent, and customer data does not train its AI providers' models. No training opt-out is described. Retention is 'as long as necessary', with no fixed period.
SourceOutput rights · Can you use what you make commercially?
The terms say 'Customer retains all ownership rights to the User Content processed using the service', though content in a company workspace belongs to that workspace or organization. You grant Otter a worldwide, royalty-free license with the right to sublicense, and Otter may use aggregated or de-identified data for machine learning. The terms make you 'solely responsible' for giving notice to and getting consent from the people you record.

User reviews · What do paying users report?
Users are broadly happy: 4.8 from 88,080 App Store ratings, 4.8 from 47,641 on Google Play, 4.6 from 32 Product Hunt reviews and 4.4 from 867 on Trustpilot, though a quarter of Trustpilot reviews are one-star. The most repeated complaint is unexpected or duplicate charges, plus features moved to pricier tiers. The most repeated praise is accurate, searchable transcripts and fast billing fixes from support. Many recent five-star Trustpilot reviews thank support agents by name, which Otter often replies to.

What Otter does
Otter records and transcribes conversations. Its Notetaker can join Zoom, Microsoft Teams and Google Meet calls automatically, produce a live transcript with speaker labels, then write a summary you can query with AI Chat. You can also record in person through the mobile apps or import audio files. Paid tiers mainly buy more minutes, longer meetings, more imports and integrations such as Salesforce and HubSpot.
We read the pricing page, the terms of service, the privacy policy, the privacy and security page and the help-center article on cancelling. We did not record meetings with it, so we make no claim about transcription accuracy.
Minutes, caps and the free plan
The free Basic plan is generous on paper, with 300 minutes a month, but the 30-minute cap per conversation means a standard one-hour meeting is cut in half. Basic also keeps only your 25 most recent conversations and allows three imports for the life of the account. Pro raises the allowance to 1,200 minutes, 90 minutes per conversation and 10 imports a month, with unlimited history. Business is the first plan without a monthly meeting-minute cap, though a single conversation still stops at four hours and imports are limited to 6,000 minutes.
AI Chat, the feature for asking questions across your transcripts, has its own quota: 20, 50 or 200 queries a month depending on plan. None of these allowances roll over. Pro also limits a workspace to five billed users, so growing teams hit Business pricing quickly.
One more cap is easy to miss: concurrent meetings. Basic records one meeting at a time, Pro two and Business three, which matters if several colleagues share a workspace and their calls overlap.
Recording consent is your problem, not Otter's
This is the clause to read twice. Otter's terms say you are solely responsible for providing notices and obtaining consent from the people you record, and that recording laws vary by location. In the US, several states require every party to a call to consent before it is recorded. An AI bot that joins automatically from your calendar can end up in meetings you did not plan to record, including calls with outside guests.
Practical steps: decide which calendars the Notetaker may join, tell participants at the start of each call, and keep it out of meetings with clients, patients or job candidates unless you have explicit agreement. If you join an employer's workspace, the employer's own privacy rules also apply.
How your meetings feed Otter's AI
Otter is open about training its own speech and AI models on customer data. The security page describes an automatic de-identification step and says no human reviews recordings without explicit consent. The privacy policy is less comforting: it mentions training on transcriptions that 'may contain Personal Information', and it names a third-party data labeling provider among recipients of data. We found no switch to opt out of training. Imported Google Workspace documents are excluded from training.
Billing: no refunds, one pause
- Refunds: none for purchased subscriptions, per the help center and terms.
- Renewal: automatic. Cancel at least 24 hours before the billing date.
- Pause: available once, from Account Settings, as an alternative to cancelling.
- Mobile purchases: handled by Apple or Google under their refund policies.
- Disputes: the terms require binding arbitration and bar class actions, with a 30-day window to opt out after you accept them.
Our reading
Otter is a reasonable buy for teams that record routine internal meetings and accept the training terms. Pay monthly first, since there are no refunds, and switch to annual billing only once you know Pro's minutes fit. Students and teachers should use the .edu discount, which cuts Pro to $6.67 a month on annual billing. For anything sensitive, such as client negotiations, medical conversations or interviews, talk to Otter's sales team about Enterprise terms before you record, or simply keep the bot out of the meeting.
